Creating Portal Rooms
Rooms are the pages of your partner portal. This article walks through creating one, filling it, deciding who sees it, and taking it live, then how to manage the rooms you already have.
For what each room type actually does, see Portal Room Types.
Where to find it: Click Portals in the main navigation.
Who can use this: Admins and Partnership Team members.
Before you start
Rooms belong to a partner type, so decide which audience you are building for first. Referral, reseller and distributor partners each get their own set of rooms, and a room built for one type never appears for another.
Which partner types you have comes from Settings, then Modules & AI. See Platform Settings.
Step 1: Create the room
On the Portals page, click Create. The sidebar walks you through up to four steps.
Partner Type
Choose referral, reseller or distributor. This step is skipped if you only have one partner type enabled.
Type
Pick the room type. They are grouped as Custom, Sales, Marketing, Collaboration, Communication and Partner Management.
Two labels tell you why an option cannot be selected:
Active: that room type already exists for this partner type. Edit the existing room instead.
Upgrade: the room needs a module that is not switched on.
Templates
This step only appears if you chose From Template. Pick a saved room template, or carry on without one.
Details
Give the room a name and click create.
On a pre-defined room, leave the name blank unless you have a reason not to. A blank name uses Journeybee's own translated name, so a partner reading in French sees the French one. Type your own name and every partner sees that name in every language.
New rooms are created as Draft, so nothing is visible to partners yet.
Step 2: Add the content
Open the room. What you can edit depends on its type.
Custom rooms
You get a Content tab with the block canvas. Drag blocks in from the left, click a block to edit it, and reorder by dragging. There is also a Show section navigation option that gives the room its own on-page contents sidebar, which is worth turning on for long pages.
See Custom Portal Rooms for the full block reference.
Overview, Leads and Deals
These three have a Content tab too, but instead of blocks it holds their own options: quick actions and partner details on Overview, and card and list fields on Leads and Deals.
Every other room
Payments, Resources, Certifications, Projects, Contacts, Messages, Branding, Shared Files, MDF, Campaigns and Partners have no content to configure. They fill themselves from your data. Nothing to do here beyond access and going live.
Step 3: Decide who sees it
Open the Access tab. You never assign a room to a partner by hand: you describe the partners it is for, and matching partnerships pick it up automatically.
Set Room Visibility: All users, Internal only (your team, not partners) or External only (partners, not your indirect internal users).
Add any of Categories, Tiers, Partnership Stages, Contact Tags and Partnerships. Every filter you set has to be matched, so each one you add narrows the audience.
Check the count. The panel shows how many partnerships currently qualify, and tells you whether the partnership you are viewing would see the room.
Leave every filter empty and all partnerships of that type get the room. Full detail in Portal Access Management.
Step 4: Go live
Switch Live on in the room header. Until you do, the room is invisible to every partner regardless of the access settings.
Before you announce it, open a partner and click Go to partner portal to see the room exactly as they will.
Managing your rooms
The Portals list is a table you can edit in place, so most day to day changes never need the room editor.
Reorder: drag rows. The order here is the order of the partner's sidebar, and partners land on the first Live room they can access, so put the room you want them to see first at the top.
Status: flip a room between Live and Draft from the row.
Access: set stages, categories, tiers and tags from the row.
Internal Label: name two similarly-named rooms apart for your own team. Partners never see it.
Edit Room: opens the full editor.
Seeing the portal through one partner's eyes
In the sidebar filters, pick a partner under Partners, then set Access to Accessible or Not Accessible. The list narrows to the rooms that partner can or cannot reach, which is the fastest way to answer "why can they not see this?" without signing in as them.
The Access filter only works once a partner is selected.
Reusing a layout
On a custom room, the Settings tab has Save as template. Give it a name and description, and it becomes available under From Template the next time you create a room. Templates are per partner type, and deleting one does not affect rooms already created from it.
Removing a room
Remove room lives in the room's Settings tab and cannot be undone. It removes the page from the portal; it does not delete your data, so removing a Deals room leaves every deal untouched.
If you only want the room gone temporarily, set it to Draft instead.
Troubleshooting
The room type I want is greyed out
Active means it already exists for that partner type, so edit the existing one. Upgrade means its module is off. Manual Payments you can switch on yourself under Settings, then Modules & AI; LMS, Projects, MDF and Marketing are enabled by Journeybee support.
Partners cannot see the room
Work down this list: the room is Live, the partnership is Live rather than Offline, and the partnership matches every access filter. Selecting that partner in the sidebar filters will show you the answer directly.
The room name shows in English for everyone
A name you type is used verbatim in every language. Clear the Room Name on a pre-defined room to fall back to the translated name.
I built a room for the wrong partner type
Partner type is fixed when the room is created. Save the room as a template, create a new one for the right partner type from that template, then remove the original.
Partners land on the wrong page
They open on the first Live room they can access, in your list order. Drag the room you want first to the top.
Good to know
Build in Draft, then go live once. Partners see changes to a Live room immediately, so editing in public is visible.
Each room has an Engagement tab showing views and visitors for that room alone, which tells you quickly which rooms are worth the effort.
Fewer, fuller rooms beat many empty ones.
If the AI module is on, custom rooms get a Build with Buzz button that will lay out a page for you from a description.
