Building Certifications

A certification is a training programme a partner works through to earn a credential: an introduction, a curriculum of resources they have to complete, and usually a final assessment they have to pass.

Because Journeybee knows who passed and when, a certification is also something you can act on. Passing one can move a partner's tier, tag them, or unlock portal rooms, without anybody watching for it.

Where to find it: Go to Resources, then the Certifications tab.

Who can use this: Anyone on your team who can manage resources. Requires the LMS module, which Journeybee support enables for you.

Create a certification

  1. On the Resources page, open the Create dropdown.

  2. Choose Certification.

  3. A blank certification is created and the builder opens.

New certifications start as Draft. Nothing is visible to partners until you switch Live on in the header.

The builder

Set the title, description and cover image at the top. The builder then has five tabs: Content, Preview, Settings, Insights and Access.

The Content tab holds three sections.

Introduction

Content blocks that set the certification up: what it covers, who it is for, how long it takes. Drag blocks in from the sidebar. Text, links, images, video, documents, files, PowerPoint, embeds and quizzes are all available.

Worth writing properly. This is the page a partner decides on, and "Complete this to become a certified implementation partner" converts better than an empty page.

Curriculum

Drag resources from the sidebar to build the course. You can also create a new resource from the sidebar without leaving the builder.

Each resource in the curriculum carries three settings:

  • Required for completion: required resources must be completed to earn the certification. Optional ones are supporting material.

  • Show in library: with this on, the resource also appears in your normal resources library. With it off, it lives only inside this certification.

  • Visible or Hidden.

A resource with its own quiz has to be passed, not just opened, before it counts as complete.

Final assessment

Drag a resource in as the final assessment, or add a quiz. Configure:

  • Questions: multiple choice, with options and a correct answer. Drag to reorder.

  • Passing Score: the minimum percentage to pass. Defaults to 70%.

  • Show Correct Answers: whether learners see the answers after submitting.

  • Randomize Questions: shuffles the order per attempt.

  • Max Attempts: leave blank for unlimited.

  • Require curriculum completion first: locks the assessment until every required resource is done.

The assessment itself can be Required to complete or Optional.

Think about Show Correct Answers together with Max Attempts. Showing answers with unlimited attempts means anybody can pass on the second try.

Settings

  • Estimated Duration: minutes to complete, shown to partners. It sets expectations and reduces abandonment.

  • Prerequisite Certification: partners must finish another certification first. Chaining these is how you build a path from Foundation to Advanced.

  • Danger zone: archive or delete.

Access

The Access tab decides who can see it:

  • Shared (visible to partners) or Internal (your team only).

  • Partner Types: referral, reseller, distributor.

  • Categories, Tiers, Stages, Contact Tags and Specific Partners.

These work like portal room access: a partner has to match every filter you set. Leave them empty and every partner of the selected types can see it.

Resources that are part of a certification inherit the certification's access, so you do not have to configure each one.

What partners see

Partners find certifications in the Certifications room of their portal, filtered by All, Available, In Progress and Completed.

They click Start Certification to enrol, work through the curriculum marking resources complete, and take the final assessment when it unlocks. Completed certifications appear under Your Badges.

A certification with an unmet prerequisite shows as locked, with the name of the one they need first.

Tracking progress

The Insights tab shows Total Enrolled, In Progress and Completed for that certification.

Acting on the result

This is the part most people miss. Workflows can trigger on a learner outcome:

  • Starts the certification

  • Passes the certification

  • Fails the certification

A workflow can watch any certification or only the ones you name, and its actions apply to the learner's partner. So passing your Advanced certification can move the partnership to Gold tier, add a Certified tag, and thereby unlock the portal rooms and resources gated on that tier, automatically.

A failure trigger is worth building too: create a task for the partner manager so somebody follows up rather than leaving the partner stuck.

Managing certifications

  • Live or Draft: build in Draft, then publish.

  • Archive: hides it from partners and can be restored later. Use this rather than deleting, so completion history survives.

  • Delete: permanent.

  • Certifications can be organised in folders, the same as resources.

Troubleshooting

There is no Certifications tab

The LMS module is not enabled. Contact Journeybee support.

A partner cannot see a certification

Check it is Live and set to Shared rather than Internal, then work through the Access filters. They have to match all of them. Also check they are not blocked by a prerequisite.

The final assessment is locked

Require curriculum completion first is on and the partner still has required resources outstanding. The portal shows them how many.

A partner finished everything but is not marked certified

Check which curriculum resources are marked Required for completion, and whether the final assessment is Required. A resource with its own quiz needs the quiz passed, not just opened.

Partners keep retaking until they pass

Set Max Attempts, and consider turning off Show Correct Answers.

Certification is not offered as a workflow record type

Certification triggers also need the LMS module. If it is on and still missing, re-open the workflow builder.

Good to know

  • Build in Draft. A Live certification is visible immediately, and partners enrolling mid-build is awkward.

  • Set the estimated duration. Partners abandon training with no visible end.

  • Archive rather than delete, so completion records survive.

  • Wire a workflow to the pass event. A certification nobody acts on is just a document with a quiz on the end.
